Report with cancelled time recordings

109 Views Last edit Apr 30 at 02:59 AM 3 rev

I need a report in analytics that will give me all time recordings for an employee including cancelled recordings.

time-and-expense.jpgIn the image you can see form the the transaction Project Management >Time and Expenses the cancelled time recording and related "new negative posting".

My question is in which report or data source can I find this information? The transaction here is only for project work, I also need the information for other Time Types.

I need this for an interface to a third party system for salary information (SAP Business ByDesign does not cover Norwegian Salary)

Such report can be created through other means using source document reference. , i have created many reports which Sap does not provide but are very essential for cost analysis.

In my opinion ,might be not correct ,for vacation, activities, statement can be prepared in notes tab for reference. after that only tracking required to get that information.

Hello John-Kjell Hoset

To view the time records that are created by an employee, the data source HCMTLMB07 is my go-to data source. However, ByD handles cancellation of time records differently, depending on the user who is triggering the cancellation, as well as the type of time recording.

  • If the time entry is made on a project, then you will see the time entries with status "Cancelled" in the data source HCMTLMB07.
  • For time entries that are absence based, or are purely HR time entries (they only have a time type associated with it), when when an employee triggers the cancellation of the time entry from the employee self-service time sheet, then too you will see these time entries with status "Cancelled".

However, when a time administrator cancels the time entry via the employee's Time File (or the admin time sheet), this deletes the time entry itself, rather than update the status. As a result, the time entry would not be visible in the report created out of HCMTLMB07.

So if an administrator uses the Remove button to update an employee's time entries, relying on the "Cancelled" status would lead to incorrect updates in the third party system.

So for your use case, I would recommend that you update previous month in the 3rd party system using full transmission load, rather than use the ByD report to extract cancellations. Alternately, you could do the delta comparison between what is uploaded in the 3rd party system and what is present in ByD by downloading them separately to compare.
